The proposal coordinator will support IC System’s effort to respond to requests for proposals (RFPs) and similar solicitation documents in the government, healthcare, utility, and financial services markets. Working closely with and taking direction from the proposal manager, the coordinator will help vet RFPs to determine IC System’s ability to respond, create and drive schedules for proposal completion, help develop response outlines and compliance matrices, and analyze competitive proposals with an eye toward improving our own. The ideal candidate is organized, detail-oriented, and has a strong knowledge of English composition and grammar. The proposal coordinator position is essentially a project management position, so the ideal candidate must be able to balance and prioritize multiple deadlines while keeping tasks on track to completion.

Duties performed will include:

  • Scour opportunity capture resources such as RFP websites, looking for solicitations that might be a good fit for IC System
  • Analyze complex solicitation documents, breaking them down into action items for other team members, as well as SMEs outside the marketing department
  • Develop timelines for the completion of RFP responses, and ensure that our response effort stays on schedule by coordinating the work of other writers and experts
  • Perform review of our draft responses for clarity, technical accuracy, continuity, readability, and (most critically) compliance with RFP requirements
  • Perform review of our competitors’ proposals, then make recommendations concerning their most effective tactics that can be incorporated into our own response templates, library, or processes
  • Complete final production and shipping for hard copy proposals, including printing and binding of copies, and acquiring executive signatures on originals
  • Other duties as assigned

Qualified candidates will have:

  • A bachelor’s degree in marketing, business, communication, or other applicable field; or, three years’ experience in procurement or proposal preparation
  • Excellent project management and task prioritization skills
  • Strong knowledge of the English language including spelling, composition, and grammar
  • Excellent communication and interpersonal skills
  • Expert skills in Microsoft Word and experience with all other Microsoft Office applications
  • Ability to work independently and as part of a team
  • Ability to meet tight deadlines
